Privacy Policy

1. Introduction

Stager Notes ("we," "us," or "our") operates an AI-powered listing preparation platform for real estate agents and home stagers at stagernotes.com. Users upload room photos and receive a room-by-room preparation plan, with optional AI-generated before and after images, delivered as a report they can share with homeowners.

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use our website, platform, and related services (collectively, the "Service"). It applies to all users, including:

  • Real estate agents and home stagers ("Pros") who create an account and use Stager Notes
  • Homeowners who view a report shared with them by a Pro (no account is required to view; creating a Free Staging Snapshot collects a name and email address, described in Section 17)
  • Website visitors who browse our public pages

We are committed to protecting your privacy in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL).

By using Stager Notes, you consent to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Information Pros Provide Directly

When you create a Pro account and use Stager Notes, we collect:

  • Account information: Email address and profile details, including your role, brand name, logo, and accent color used for white-label reports.
  • Room photos: The room photos you upload for analysis.
  • Report content: The prep plans generated from your photos and any AI before and after images you approve for inclusion in a report.
  • Usage data: Which features you use, number of reports generated, and actions taken within the platform.

2.2 Information Collected from Homeowners

Homeowners view reports through a shared link and do not create accounts, with one exception: creating a Free Staging Snapshot collects a name and email address, described in Section 17. When a homeowner views a published report, we collect only:

  • Standard log data: IP address, browser type, and access time, as described in Section 2.5.

We do not require homeowners to provide a name, email address, phone number, or any other personal information to view a shared report.

2.3 Information Collected from Website Visitors

  • Usage and performance measurement: Page-view counts, referrer URL, and page-speed measurements, collected through our hosting provider without cookies and in aggregate.
  • Optional analytics, only with your consent: If you choose "Accept all" on our cookie banner, we also use Google Analytics and Microsoft Clarity, described in Section 9. If you choose "Essential only," or make no choice, these stay off.
  • Cookies: Required cookies handle authentication sessions. Optional analytics cookies are set only with your consent. See Section 9 for details.

2.4 Information Collected Through Payment Processing

When you purchase a paid report or subscription, payment is processed by Stripe. We receive confirmation of your payment status, billing history, and plan details. We never receive, store, or have access to your full credit card number, debit card number, or banking details. These are handled entirely by Stripe in accordance with PCI-DSS standards.

2.5 Information Collected Automatically

  • Device information: Browser type, operating system, and device type.
  • Log data: IP address, access times, and referring URLs.

3. How We Use Your Information

We use the information we collect for the following purposes:

We do not sell your personal information to any third party. Ever.

If the business itself is ever merged or acquired, your information transfers with it under the safeguards in Section 15, and those commitments bind the new owner the same way they bind us. That is a change of ownership, not a sale of your data.

We do not send marketing or promotional emails without your explicit opt-in consent, in compliance with CASL. Transactional emails (receipts, account notifications, service updates) are exempt from CASL consent requirements as they relate directly to your use of the Service.

4. The Pro-Homeowner Relationship

Stager Notes serves as a tool for Pros. When a Pro shares a report with a homeowner:

  • Reports are private until published. A report is only visible to the Pro until the Pro publishes it. Once published, the report is viewable by anyone who has the link.
  • Access is controlled by tokens. Share and edit tokens determine who can view or edit a report. The Pro decides who receives the share link and can unpublish a report at any time.
  • Homeowners need no account to view. Viewing a shared report does not require a homeowner to provide personal information to us. Creating a Free Staging Snapshot is the exception: the form collects your name and email address, described in Section 17.
  • The Pro is responsible for their own communications. Any follow-up between a Pro and a homeowner outside the Service is governed by the Pro's own privacy practices and applicable laws, including CASL and PIPEDA.

5. AI-Powered Features: Important Disclosures

Stager Notes uses artificial intelligence extensively. We believe in full transparency about how AI is used in our Service.

5.1 AI Photo Analysis and Prep Plans

When you upload room photos:

  • An AI model analyzes the photos to identify the room and its visible contents.
  • The AI produces a room-by-room preparation plan with cosmetic presentation suggestions for staging and photography readiness.
  • The AI may make errors. Suggestions are for general informational purposes and should be reviewed using your professional judgment.

5.2 AI-Generated Before and After Images

  • On request, the Service can generate AI-edited "after" images that illustrate how a room could look once the prep suggestions are applied.
  • All AI-generated images are clearly labelled as AI-generated. They are illustrative and may differ from the actual results of any work performed.
  • AI-generated images require operator approval before they appear in any shared report.

5.3 What the Service Does Not Do

Stager Notes provides cosmetic presentation suggestions only: it is not an appraisal, a home inspection, or an opinion of value. The Service does not grade properties and does not provide advice about building systems.

5.4 AI Service Providers

AI processing is performed by third-party AI providers (see Section 7). When your data is sent to these providers:

  • Only the minimum data necessary for the specific task is transmitted.
  • Our AI providers are contractually prohibited from using your data to train their own models (where such contractual terms are available).
  • Photo analysis, prep plan generation, and image rendering involve sending relevant photos and report context to AI providers for processing.

6. AI Training and Service Improvement

6.1 How We Improve Our Service

When our AI drafts an analysis of a room and you correct it, that correction tells us where the draft was wrong. With your consent, we keep those corrections and use them to improve the accuracy and quality of our AI analysis. This is off unless you turn it on, under Improving the AI in your account settings.

6.2 What We Keep

For each correction, we keep three things:

  • The room photo, as you uploaded it. It is not blurred, cropped, or reduced to metadata.
  • The analysis our AI produced.
  • The corrected version you saved, and a summary of what changed between the two.

Your client's name, their email address, and the property address are not copied into this set.

We do not describe this data as anonymous, because it is not. A room photo can identify the property it came from, and while your account exists each correction stays linked to it, so that you can withdraw your consent and we can act on it. Deleting your account removes that link.

6.3 Your Right to Opt Out

You may opt out of AI training use at any time by contacting us at hello@stagernotes.com or through your account settings. Opting out will not affect your access to any features of the Service.

7. Third-Party Service Providers

We share personal information with the following categories of third-party service providers, solely for the purposes of operating the Service:

All Third-Party Providers

All third-party service providers are:

  • Contractually bound to protect your data and use it only for the purposes we specify.
  • Required to maintain appropriate security measures.
  • Prohibited from selling or using your data for their own marketing purposes.

8. Data Location

Some of our service providers are based in the United States. As a result, your personal information may be processed and stored on servers located in the United States and Canada.

Specifically:

  • Vercel (hosting): Servers primarily located in the United States.
  • Supabase (database and storage): Cloud infrastructure that may involve US-based servers.
  • Stripe, Anthropic, Google, Resend: US-based companies.

Where personal information is transferred outside of Canada, we ensure that appropriate contractual safeguards are in place to protect your information in accordance with PIPEDA. You acknowledge and consent to this transfer by using the Service.

9. Cookies and Tracking

We keep tracking to a minimum, and we ask before using anything optional.

Always on

  • Authentication cookies: Required for the Service to function. These maintain your login session and cannot be disabled while using the Service.
  • Cookieless usage and performance measurement: Our hosting provider, Vercel, gives us aggregated page-view counts and page-speed measurements. This sets no cookies, builds no profile of you, and does not follow you to other websites.

Only with your consent

If you choose "Accept all" on our cookie banner, we also use:

  • Google Analytics: Tells us which pages are visited and how visitors move through the site. Sets analytics cookies (names beginning with _ga).
  • Microsoft Clarity: Shows us session replays and heatmaps so we can find confusing parts of the interface.

If you choose "Essential only," or make no choice at all, these tools stay off. You can at any time; the change applies from that moment on.

What we never use

  • Advertising or marketing cookies
  • Cross-site tracking technologies
  • Fingerprinting or device identification beyond standard log data

We do not sell cookie or analytics data, and we do not share it with advertisers.

10. Data Retention

We retain your personal information only as long as necessary to fulfill the purposes described in this policy:

Your contact details are shared with a third party, such as a real estate agent, only on explicit opt-in: when you ask us to connect you with an agent and provide your contact details for that purpose. Without that explicit request, we do not share them with anyone outside of the service providers described in Section 7.

You may request deletion of your data at any time (see Section 11).

11. Your Rights Under PIPEDA

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the following rights:

  • Right to access: You may request a copy of the personal information we hold about you.
  • Right to correction: You may request that we correct any inaccurate or incomplete personal information.
  • Right to deletion: You may request that we delete your personal information, subject to legal retention requirements.
  • Right to withdraw consent: You may withdraw your consent for specific data uses (such as AI training) at any time. Withdrawal of consent for core Service functions may require account closure.
  • Right to data portability: Pros may export their reports, photos, and profile information at any time through the platform or by request.
  • Right to file a complaint: If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada.

Users in the United States

We extend the same access, correction, deletion, and portability rights to every user, wherever you live. We do not sell personal information, and we do not share it for cross-context behavioural advertising as those terms are defined in US state privacy laws. If you live in a US state with a comprehensive privacy law, you may exercise your rights through the same process described below.

Users in Quebec

If you live in Quebec, the Act respecting the protection of personal information in the private sector (as amended by Law 25) also applies to you. The person responsible for the protection of personal information is identified in Section 18, and you may address requests and complaints to them. You may also contact the Commission d'accès à l'information du Québec.

How to Make a Request

Send your request to hello@stagernotes.com with the subject line "Privacy Request." Please include your full name and the email address associated with your account.

Response Timeline

We will acknowledge your request within 5 business days and provide a substantive response within 30 calendar days. If we need additional time, we will notify you of the reason for the extension.

12. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including:

  • Encryption in transit: All data transmitted between your device and our servers is encrypted using TLS (Transport Layer Security).
  • Encryption at rest: Sensitive data stored in our databases is encrypted at rest.
  • Private storage: Room photos and AI renders are stored privately and served through signed URLs that expire. Reports remain private until you publish them.
  • Access controls: Access to personal information is restricted to authorized personnel on a need-to-know basis.
  • Authentication security: Passwords are hashed and never stored in plain text. We support Google OAuth for secure authentication.
  • Third-party security: We select service providers that maintain appropriate security certifications and practices.
  • Regular reviews: We periodically review and update our security practices.

While we strive to protect your information, no method of transmission or storage is 100% secure. If you become aware of a security incident, please contact us immediately at hello@stagernotes.com.

If a breach of our security safeguards creates a real risk of significant harm to you, we will report it to the Office of the Privacy Commissioner of Canada, notify you as soon as feasible, and keep a record of the breach, as required by PIPEDA's Breach of Security Safeguards Regulations. Where Quebec's Law 25 applies, we will also notify the Commission d'accès à l'information.

13. CASL Compliance (Canada's Anti-Spam Legislation)

We comply with Canada's Anti-Spam Legislation (CASL) in all electronic communications:

  • Transactional emails (account confirmations, password resets, receipts, service notifications) are sent without additional consent, as they relate directly to your use of the Service and are exempt under CASL.
  • Commercial electronic messages (marketing emails, promotional content, newsletters) are only sent with your express opt-in consent. You may unsubscribe at any time using the unsubscribe link in any email.
  • All commercial emails identify Stager Notes as the sender, include our contact information, and contain a working unsubscribe mechanism.

For Pros using Stager Notes in their client communications: You are responsible for ensuring your own compliance with CASL when contacting homeowners or other clients in connection with reports created through Stager Notes. We recommend obtaining express consent before sending commercial messages.

14. Children's Privacy

Stager Notes is not directed at individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16, we will take steps to delete that information promptly.

15. Business Transactions

If Launch and Found Inc. is involved in a merger, acquisition, financing, reorganization, or a sale of some or all of its business or assets, personal information may be shared with the other party while the transaction is being evaluated, and transferred to them if it completes. Canadian privacy law (PIPEDA) permits this, and it attaches conditions that we hold to:

  • Before a transaction completes, a prospective party receives only what is necessary to evaluate the transaction, under an agreement that limits their use of it to that evaluation and requires them to protect it.
  • If the transaction does not complete, that information must be returned to us or destroyed.
  • If it completes, your information transfers with the business, and the new owner may use it only for the purposes described in this policy unless they obtain your fresh consent. The commitments in this policy, including that personal information is not sold to third parties, bind the new owner the same way they bind us.
  • We will notify affected users when a transaction completes, and of any material changes a new owner makes to this policy, as described in Section 16.

A corporate transaction in which the business changes hands is not a sale of your personal information as this policy uses that term. Your data is never the product being sold to an outside buyer for that buyer's own use.

16. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes:

  • We will provide at least 30 days' notice before the changes take effect.
  • We will notify you by email (if you have an account) and by posting a prominent notice on our website.
  • We will update the "Last Updated" date at the top of this policy.

Your continued use of the Service after the effective date of a revised policy constitutes your acceptance of the changes.

17. Free Staging Snapshot

The free Staging Snapshot is a short version of our report that a homeowner can request directly, without a professional creating it for them. This section covers what that involves. The rest of this policy applies to it as well.

17.1 What we collect

When you create a Staging Snapshot we collect:

  • Your name and email address, because the snapshot form asks for them.
  • Where the home is: the city, the province or state, and the first part of the postal or ZIP code. We do not ask for the street address. The optional label you give the home is stored as you typed it, and is only ever shown to you and to a professional you are introduced to.
  • When you are hoping to list, as one of four ranges.
  • A photo of each room you want looked at, and the plan our analysis produces from it.

Room photos are re-encoded when they reach us, which removes the camera metadata a phone attaches to a picture, including GPS coordinates, the capture time, and the device. That happens before the photo is stored, so the only location we hold is the city, province or state, and partial postal or ZIP code you typed in yourself.

17.2 What a staging professional sees, and when

A Staging Snapshot is free because it introduces you to a home staging professional. That introduction happens only if you tick the consent box when you create it, and it happens in two stages.

Before a professional takes your snapshot on, they see the area you are in, when you are hoping to list, how many rooms you added, and how ready those rooms look. They do not see your name, your email address, or your photos.

Once a professional takes it on, they also receive your name and email address so they can contact you about preparing the home. They do not receive your room photos or the snapshot itself from us; whether you show them those is your choice when you talk. We do not sell your details.

If you do not tick the consent box, no snapshot is created. You can withdraw that consent at any time by emailing hello@stagernotes.com, which stops any further introduction. A professional who has already been introduced to you will already hold your contact details, so ask them directly to remove them.

17.3 How long we keep it

If a snapshot never leads to work, its room photos and any AI concept image generated from them become due for deletion 180 days after it was created, and we may remove them at any time after that. The share link stops working when they are removed. We keep the record that a snapshot was created and that you consented, without the photos, because that record is how we can show what you agreed to.

If a snapshot does lead to work, it is kept as part of that job under the ordinary retention described in Section 10.

17.4 Deleting it sooner

You do not have to wait for that window. A snapshot is created without an account, so deletion works the same way: ask us and we remove the snapshot, its rooms, the photos and any concept image, and any record of a professional having taken it on. The rights in Section 11 all apply to a snapshot: you can ask for a copy of what we hold, ask us to correct it, or ask us to delete it, at hello@stagernotes.com.
